Account Settings

Account Settings

Manage your personal account settings, profile information, and preferences from the Account Settings page.

Accessing Account Settings

  1. Click on your profile icon in the top-right corner
  2. Select "Account Settings" from the dropdown menu
  3. You'll be redirected to qotrack/account

Profile Information

Personal Details

Update your personal information:

  • Full Name: Your display name throughout the system
  • Email Address: Primary contact email (requires verification to change)
  • Phone Number: Mobile number for SMS verification
  • Profile Picture: Upload a profile photo
  • Timezone: Set your local timezone for accurate timestamps
  • Date Format: Choose your preferred date format (DD/MM/YYYY, MM/DD/YYYY, etc.)

Changing Email Address

  1. Navigate to Profile Information tab
  2. Click "Change Email"
  3. Enter new email address
  4. Verification code sent to new email
  5. Enter verification code
  6. Email updated successfully
  7. All notifications will be sent to new email

Changing Phone Number

  1. Navigate to Profile Information tab
  2. Click "Change Phone"
  3. Enter new phone number
  4. Verification code sent via SMS
  5. Enter verification code
  6. Phone number updated successfully
  7. SMS verification will use new number

Security Settings

Password Management

  • Change Password: Update your password anytime
  • Password History: View recent password changes
  • Last Changed: Date of last password update
  • Force Change: Admin may require password change

Two-Factor Authentication (MFA)

Enable additional security for your account:

  • Status: Current MFA status (Enabled/Disabled)
  • Method: SMS verification
  • Setup: Enable MFA by verifying your phone number
  • Disable: Can be disabled (not recommended for admin accounts)

Session Management

  • Active Sessions: View all currently active sessions
  • Session History: Recent login history
  • Revoke Sessions: Log out from specific devices
  • Revoke All: Log out from all devices except current

Login Notifications

  • Email Notifications: Receive email on new login
  • SMS Notifications: Receive SMS on new login
  • Unrecognized Device Alerts: Alert for logins from new devices

Notification Preferences

Email Notifications

Configure which notifications you receive via email:

  • Sales: New orders, invoices, receipts
  • Purchases: Purchase orders, GRNs, bills
  • Inventory: Low stock alerts, stock transfers
  • Financial: Payment reminders, bank reconciliations
  • System: Maintenance notices, updates
  • Security: Login alerts, password changes

SMS Notifications

Configure SMS notifications (if enabled):

  • Critical Alerts: Only urgent notifications
  • All Notifications: All system notifications
  • Custom: Select specific notification types

In-App Notifications

  • Desktop Notifications: Browser push notifications
  • Sound Alerts: Audio notification for important events
  • Badge Count: Show unread notification count

Organization Access

Your Organizations

View all organizations you have access to:

  • Organization Name: Display organization name
  • Role: Your role in each organization
  • Branch: Assigned branches (if applicable)
  • Status: Active/Inactive status
  • Last Access: Date of last login to organization

Switching Organizations

  • Click on organization name to switch
  • Current organization highlighted
  • Session preserved during switch
  • Permissions update based on organization

Branch Access

For multi-branch organizations:

  • Assigned Branches: List of accessible branches
  • Default Branch: Branch selected by default
  • Switch Branches: Change current branch
  • Branch Permissions: View branch-specific permissions

Preferences

Language

  • Interface Language: Choose system language
  • Date Format: Regional date formatting
  • Number Format: Regional number formatting
  • Currency Display: How currency amounts are shown

Theme

  • Light Mode: Light color scheme
  • Dark Mode: Dark color scheme
  • Auto: Follow system preference
  • High Contrast: Enhanced contrast for accessibility

Dashboard

  • Default View: Choose default dashboard view
  • Widgets: Customize dashboard widgets
  • Layout: Arrange widget positions
  • Refresh Rate: Auto-refresh interval

Data Display

  • Rows Per Page: Number of rows in tables
  • Compact View: Dense data display
  • Show IDs: Display record IDs
  • Timestamps: Show creation/modification times

Connected Devices

Active Sessions

View all devices currently logged in:

  • Device Type: Desktop, Mobile, Tablet
  • Device Name: Browser and OS information
  • IP Address: IP address of the device
  • Location: Geographic location (when available)
  • Last Activity: Time of last interaction
  • Login Time: When the session was created

Managing Sessions

  • Revoke Single: Log out from specific device
  • Revoke All: Log out from all devices
  • Current Session: Cannot revoke current session
  • Security: Revoke unknown sessions immediately

Activity Log

Recent Activity

View your recent account activities:

  • Login/Logout: Session events
  • Password Changes: Security events
  • Profile Updates: Information changes
  • Permission Changes: Role modifications
  • Organization Access: Organization switches

Filtering

  • Date Range: Filter by time period
  • Activity Type: Filter by event type
  • Export: Export activity log

Data Export

Personal Data

Export your personal data:

  • Profile Information: Name, email, phone
  • Activity Log: Account activity history
  • Session History: Login/logout records
  • Notification Preferences: Your notification settings

Download Options

  • Format: CSV, JSON, or PDF
  • Date Range: Select time period
  • Include: Choose data types to include

Account Deletion

Requesting Deletion

To permanently delete your account:

  1. Navigate to Account Settings
  2. Scroll to "Danger Zone" section
  3. Click "Request Account Deletion"
  4. Confirm your decision
  5. Deletion request submitted for review

Deletion Process

  • Review Period: 30-day review period
  • Data Retention: Data may be retained for legal requirements
  • Organization Data: Organization data is not deleted
  • Reversible: Can cancel deletion request within review period

Before Deletion

  • Export any needed personal data
  • Inform your organization administrator
  • Transfer any responsibilities
  • Cancel any active subscriptions

Troubleshooting

Cannot Save Changes

  • Check for required fields
  • Verify email/phone format
  • Ensure no validation errors
  • Try refreshing the page
  • Contact support if issue persists

Changes Not Taking Effect

  • Clear browser cache
  • Log out and log back in
  • Check for conflicting settings
  • Verify organization permissions
  • Contact administrator if needed

Cannot Switch Organizations

  • Verify organization is active
  • Check your role permissions
  • Ensure you're not locked to current organization
  • Contact organization administrator
  • Contact support if issue persists

Notifications Not Received

  • Verify notification preferences
  • Check email spam folder
  • Ensure phone number is verified
  • Check notification delivery status
  • Contact support if issue persists

MFA Not Working

  • Verify phone number is correct
  • Ensure SMS service is available
  • Check for network issues
  • Request new verification code
  • Contact support if issue persists

Best Practices

Security

  • Enable MFA for all accounts
  • Use strong, unique passwords
  • Regularly review active sessions
  • Revoke unknown sessions immediately
  • Keep contact information updated

Privacy

  • Review notification preferences regularly
  • Export data before account deletion
  • Be cautious with public devices
  • Log out from shared devices
  • Monitor activity log for suspicious events
