Banking Module

The Banking Module in QoBooks provides comprehensive management of multi-currency bank accounts, transactions, and financial reconciliation.

Overview

The Banking Module allows you to:

  • Manage multiple bank accounts across different currencies
  • Track all bank transactions (deposits, withdrawals, transfers)
  • Reconcile bank statements with system records
  • Manage cash flow and liquidity
  • Generate banking reports and analytics

Bank Accounts

Creating a Bank Account

  1. Navigate to Banking

    • Go to Financial Management > Banking
    • Click "Add Bank Account"
  2. Account Details

    • Account Name: Descriptive name for the account
    • Account Number: Bank account number
    • Bank Name: Name of the financial institution
    • Branch: Bank branch location
    • Account Type: Checking, Savings, or Current
  3. Currency Configuration

    • Currency: Select from configured currencies
    • Exchange Rate: Current exchange rate (auto-updated or manual)
    • Locale: Regional formatting for amounts
  4. Account Settings

    • Default Account: Mark as default for transactions
    • Active Status: Enable/disable account
    • Opening Balance: Initial account balance
    • Balance Date: Date of opening balance
  5. Save Account

    • Click "Save" to create the account
    • Account appears in banking dashboard

Account Types

Checking Account

  • For day-to-day transactions
  • Supports checks, debit cards
  • High transaction volume
  • Lower interest rates

Savings Account

  • For accumulating funds
  • Limited transactions
  • Higher interest rates
  • May have minimum balance requirements

Current Account

  • Business checking account
  • Overdraft facility
  • Check writing capability
  • Transaction fees may apply

Multi-Currency Support

QoBooks supports bank accounts in multiple currencies:

  • Base Currency: Organization's primary currency
  • Foreign Currency: Accounts in other currencies
  • Auto-Conversion: Automatic conversion at current rates
  • Manual Conversion: Override exchange rates when needed
  • Revaluation: Periodic currency revaluation for reporting

Transactions

Deposits

Recording a Deposit

  1. Navigate to Banking > Deposits
  2. Click "New Deposit"
  3. Select source account
  4. Enter deposit amount
  5. Select deposit type:
    • Cash deposit
    • Check deposit
    • Electronic transfer
    • Customer payment
  6. Add reference/description
  7. Attach supporting documents
  8. Save deposit

Deposit Types

  • Cash: Physical cash deposited at bank
  • Check: Check deposits with check number
  • Electronic: Wire transfers, ACH, online transfers
  • Customer: Payments received from customers

Withdrawals

Recording a Withdrawal

  1. Navigate to Banking > Withdrawals
  2. Click "New Withdrawal"
  3. Select destination account
  4. Enter withdrawal amount
  5. Select withdrawal type:
    • Cash withdrawal
    • Check payment
    • Electronic transfer
    • Supplier payment
  6. Add reference/description
  7. Attach supporting documents
  8. Save withdrawal

Withdrawal Types

  • Cash: Physical cash withdrawn
  • Check: Check issued to payee
  • Electronic: Wire transfers, ACH, online payments
  • Supplier: Payments to suppliers

Transfers

Internal Transfers

Transfer funds between your bank accounts:

  1. Navigate to Banking > Transfers
  2. Click "New Transfer"
  3. Select source account
  4. Select destination account
  5. Enter transfer amount
  6. Set transfer date
  7. Add reference/description
  8. Save transfer

External Transfers

Transfer funds to external accounts:

  1. Navigate to Banking > Transfers
  2. Click "New External Transfer"
  3. Select source account
  4. Enter recipient bank details
  5. Enter transfer amount
  6. Select transfer method (SWIFT, ACH, etc.)
  7. Add reference/description
  8. Save transfer

Bank Reconciliation

Reconciliation Process

Reconcile your bank statements with QoBooks records:

  1. Navigate to Reconciliation

    • Go to Financial Management > Reconciliation
    • Select bank account to reconcile
  2. Enter Statement Details

    • Statement date
    • Statement opening balance
    • Statement closing balance
    • Statement reference number
  3. Match Transactions

    • System auto-matches transactions
    • Manually match unmatched items
    • Mark items as cleared
    • Add missing transactions
  4. Review Differences

    • Check for discrepancies
    • Investigate missing items
    • Verify amounts match
    • Note timing differences
  5. Complete Reconciliation

    • Verify balance matches statement
    • Click "Complete Reconciliation"
    • Generate reconciliation report

Reconciliation Tips

  • Regular Schedule: Reconcile monthly or weekly
  • Start Date: Begin with oldest unreconciled transaction
  • Auto-Match: Use auto-match for efficiency
  • Manual Review: Always review auto-matches
  • Documentation: Keep bank statements for records

Transaction Management

Viewing Transactions

  • Transaction List: View all transactions by account
  • Filters: Filter by date, type, amount, status
  • Search: Search by reference, description
  • Export: Export to CSV, PDF, or Excel

Editing Transactions

  • Unreconciled Only: Can edit unreconciled transactions
  • Reconciled: Cannot edit reconciled transactions
  • Void: Void transactions instead of deleting
  • Audit Trail: All changes are logged

Voiding Transactions

To void a transaction:

  1. Open transaction details
  2. Click "Void Transaction"
  3. Enter void reason
  4. Confirm void
  5. Transaction marked as voided
  6. Cannot be unvoided

  • Current balance by account
  • Balance history over time
  • Multi-currency summary
  • Base currency conversion

Transaction Report

  • All transactions by date range
  • Grouped by transaction type
  • Totals by category

Troubleshooting

Balance Doesn't Match

  • Check for unreconciled transactions
  • Verify opening balance is correct
  • Review for duplicate transactions
  • Check for voided transactions
  • Re-run reconciliation

Transactions Not Showing

  • Verify transaction date is within range
  • Check account selection
  • Verify transaction wasn't voided
  • Refresh the page
  • Check for filter settings

Cannot Edit Transaction

  • Transaction may be reconciled
  • Check your permissions
  • Transaction may be locked
  • Contact administrator
  • Void and re-enter if needed

Reconciliation Fails

  • Verify statement details are correct
  • Check for missing transactions
  • Review for duplicate entries
  • Verify amounts match exactly
  • Contact support if issue persists

Exchange Rate Issues

  • Verify currency is configured
  • Check exchange rate is current
  • Manually update if needed
  • Revalue foreign currency accounts
